Position description
Director of Operations
The Director of Operations is responsible for all of the association operations and the supervision of the operations staff. The Director of Operations and the operations staff are responsible for all the administrative functions related to the business management of the IAIDQ, including:
- Create, update and properly maintain IAIDQ member and prospect database
- Steward of published operating procedures and IAIDQ forms
- Establish all operating procedures by working with the BOD members and teams
- Support definition and ongoing management of key performance indicators for BOD
- Ensure appropriate business controls and check and balance of IAIDQ business
- Processing IAIDQ memberships including processing credit cards, depositing membership checks, sending membership cards, filing and maintaining membership files
- Managing the renewal of memberships, and determining reasons for failure to renew
- Maintaining members zone access on the website and mailing lists
- Responding to IAIDQ telephone calls, faxes, and emails, answering the inquiry and/or directing the caller to the appropriate source
- Writing general correspondence,
- Receiving and routing incoming mail
- Coordinating all mailings and emailings
- Maintaining all records, including financial, in electronic and hard copy formats where required by regulation as advised by Secretary
- Provision and management of IAIDQ supplies and office products
- Management and storage of all publications and other promotional materials
- Maintaining IAIDQ corporate records and historical files
- Maintaining website content
- Manage the implementation of the Web Accountabilities RACI as defined by the Director of Publicity
- Support other Directors and staff with online publishing as required
- Support all board members in delivering broadcast emails
Qualifications:
High degree of organizational skills. Good phone and communication skills.
This Director is responsible for day-in and day-out operations. Initially this will mean assisting the other Directors in the operational aspects of their roles. IAIDQ contracts day to day operations to a specialty firm. The Director of Operations manages and liaises with the contractor.
